Privacy Policy

1. Who We Are & What This Covers
DCManager (dcmanager.org) is a business management service for the DemocracyCraft Minecraft server, operated by GemHoldings. This policy explains what information we process, why, who can see it, and the rights you have under the Privacy Act of the Commonwealth of Redmont.
2. Information We Collect About You
When you sign in and use DCManager we collect:
- your Discord ID, username, and avatar (from Discord sign-in);
- your Minecraft username and UUID (if you link your account); and
- records you generate by using the service — businesses, transactions, journal entries, and your Terms/Privacy acceptance history; and
- when you sign or decline a contract, an audit record of that action: the time and the type of device you signed from — mobile, desktop, or tablet (see Section 4a).
We do not collect real-life personal information. We do not request your email address from Discord, and we never ask for your real name, age, location, or any other information that could identify you in real life.
3. Information Businesses Enter About Others
Business owners and managers enter information about other players: employee names, titles, salaries, pay schedules, and notes. That information belongs to the employment relationship inside that business. If a business has recorded information about you, Section 10 explains how to access or correct it.
4a. Electronic Signature Audit Records
DCManager contracts are electronically signed. To make a signature tamper-evident and verifiable, when you sign, decline, or view a contract sent to you we record an audit trail: the event and its timestamp, and the type of device you used — mobile, desktop, or tablet — alongside your typed or drawn signature and your explicit consent to sign electronically. This audit trail is rendered into the completed PDF’s certificate of completion, which is available to both parties to the contract.
We do not record or store your IP address. Because the certificate is shared with the other party to the contract, we deliberately omit IP addresses and precise location so that signing a contract never exposes information that could be used to locate or target you (for example, off-platform). The device type is derived from your browser and is used only to evidence how a contract was signed.
4. Treasury Connection Data (Retired)
DCManager previously stored a tenant’s Treasury API key (encrypted at rest) to auto-credit incoming customer payments to the business’s DCManager wallet. The feature was retired on June 20, 2026 at the direction of DemocracyCraft staff, and every stored key was wiped from our database when this update was deployed. Historical transaction rows captured before the retirement are kept for accounting integrity but are no longer updated by any automated process.
5. How We Use Information
We process information only to operate the service:
- authenticating you and linking your Minecraft account;
- running payroll, payments, and deposits you set up;
- maintaining accurate double-entry books and statements;
- billing subscriptions; and
- preventing fraud and enforcing our Terms.
We do not sell information, run ads, or share data for marketing.
6. Who Can See What
- Business members: a business’s financial records — wallets, transactions, payroll history, and reports — are visible to every member the owner invites, at any role. Employee records (configured salaries, notes, and change history) are restricted to managers, accountants, and owners.
- Other users: users outside a business cannot see its data.
- Platform administrators: may access data on a need-to-know basis to operate the service, provide support, and comply with DemocracyCraft law or court orders.
7. Retention
Journal entries, payroll history, and related audit records are the source of truth for every balance in the system and are retained for accounting integrity — deleting them would corrupt the books of the businesses involved. Acceptance records are retained as evidence of consent. Other information is kept only as long as needed for the purposes above.
8. Sharing
Data leaves DCManager only toward the DemocracyCraft Treasury API (to execute the transfers you instruct) and our infrastructure providers that host the service. We disclose information beyond that only where required by DemocracyCraft law or court order.
9. Security
The database is reachable only through our servers — never directly from your browser. Every request re-checks your role before returning business data, and balance changes are executed atomically with their journal entries.
10. Your Rights
Under the Privacy Act you may, at any time:
- access the personal information we hold about you;
- correct information that is inaccurate or incomplete;
- request deletion of your information where it is no longer required (subject to the accounting retention in Section 7);
- withdraw consent by deleting your DCManager account; and
- complain about how your information has been handled.
Contact the GemHoldings team via Discord to exercise any of these rights. We handle requests within a reasonable timeframe as required by the Privacy Act.
11. Cookies & Sessions
We use only the cookies required to keep you signed in (session cookies set by our authentication system). There are no tracking or advertising cookies.
12. Changes to This Policy
Material changes to this policy will be presented for your review and acceptance before you continue using the service, alongside the Terms & Conditions.
